Refunds and postponement

This notice applies to commissioned engagements with Service Fieldbase: account health visual briefings, first-fortnight mapping days, QBR board sets, and named watch-list clinics. We do not sell goods, software licences, or hosted subscriptions, so those models are not covered.

Eligibility

A refund is available when we cancel, when we cannot attend a confirmed date, or when you cancel in writing before work of substance has started, subject to the timeframes below. A change of mind after boards have been drafted is a postponement or a partial refund, not a full one.

Timeframe to ask

Write to hello@service-fieldbase.click within 14 days of the event you are asking about (a cancellation, a missed session, or delivery you believe was not as scoped). We will acknowledge within two working days.

Full refund

You receive a full refund of sums paid if we cancel and cannot offer a date within six weeks that you can accept, or if you cancel in writing more than ten working days before a mapping day or clinic, or more than fifteen working days before a briefing kickoff, and we have not yet held interviews or begun drawing boards.

Partial refund

If you cancel after interviews have started, or after draft boards exist, we refund the balance after deducting work already done at a reasonable portion of the fee (typically the deposit, which is thirty percent of a briefing). Mapping-day redraws already delivered are not refunded; the unused live day is refunded if we agree you cancelled before that morning.

Non-refundable

Travel booked at cost after you asked us to travel, once tickets are purchased. Time already spent in a live ninety-minute briefing or a clinic that ran. QBR filling guides already delivered. Follow-up calls that occurred.

Process

Email the engagement, the confirmed date, and whether you wish to postpone or unwind. We confirm what has been delivered. Approved refunds are processed to the original payment method within 14 days of our written agreement. Bank transfer is used if the original method cannot be reversed.

Cancellation and rescheduling

One postponement is allowed without extra fee if you give at least five working days’ notice for a clinic or mapping day, or ten working days’ notice for a briefing kickoff, and we can find a new date within two months. A second postponement may be charged as a new deposit.

Deposits

The thirty percent briefing deposit holds the kickoff week. It is credited to the fee. It is refundable only under the full-refund rules above. It is kept if you do not attend kickoff and do not postpone in time.

No-shows

If the named attendees are not present within twenty minutes of a confirmed start, the session is treated as delivered. We will not rerun it without a new fee, except where we caused the failure to meet.

Work already started and materials

Interview notes and draft boards prepared for you remain part of the engagement file. If the engagement ends early, you may receive the drafts then in existence; they are not a substitute for a finished briefing. We do not purchase physical goods for you as a matter of course; printed boards at your office are your paper.

Exceptions

If illness or travel disruption on our side stops a live session, we reschedule at no extra fee or refund the live portion. Statutory rights under United Kingdom law are not affected.
